Looking at Pegasus Systems Again? Here's What’s New.

A refresh of the April 2025 blog — written for agency CFOs, COOs, and the finance and production leaders evaluating the systems running their business.

Maybe you looked at Pegasus Systems a few years ago. Maybe a deal slipped, a project parked, or you decided the timing wasn't right. Maybe your current setup has been holding together, but you're increasingly aware of how much manual effort, reconciliation, and cross-checking it takes to actually trust the numbers.

If that sounds familiar, it's a good time to look again.

Pegasus Edge has continued to evolve over the last few years. We've continued to build out the platform around a single idea: agencies need a financial truth layer; a single connected system where finance, jobs, media, and reporting reflect the same reality, in real time.

Here's where Pegasus Edge stands today, and what's landed since the original version of this post.

A modern, cloud-based platform — and an investment in keeping it that way

Pegasus Edge is fully cloud-based. No installs, no workarounds, fast access from any modern browser, with a unified interface across every module.

What's less visible, and just as important for a finance system, is what we've invested in underneath it. In 2025, we completed an external penetration test of the full product, alongside ongoing platform and network maintenance, integration reviews, and continuous scanning. Security, stability, and scalability aren't roadmap items; they're the baseline we keep raising.

For finance and operations leaders, the practical effect is straightforward: a system you can rely on, with controls, audit trails, and infrastructure that hold up to scrutiny.

Financial truth, visualised: the dashboards story

If reporting and visibility have been a sticking point, like running endless ageing reports, exporting to spreadsheets, chasing a real picture of job health, this is where the platform has changed most.

Over the past year, we've rolled out a connected family of dashboards inside Pegasus Edge:

AR Dashboards. AR Overview, Debtor Ageing, and Category Analytics give finance and client services a live view of outstanding balances, ageing trends, and where to focus collection efforts. Overdue invoices are highlighted, due dates are visible at the inquiry level, and Days Overdue sits alongside the data, not in a separate report.

GL Operating Snapshot. Real-time visibility of billings, revenue, expenses, and profit, with year-on-year comparisons and a clear view of top revenue and cost drivers, without touching a spreadsheet.

Job Snapshot Dashboard. Built for job managers, producers, and the finance leaders watching margins in real time. At a glance: Estimate, Cost to Client, Estimate Value Used, % Work Complete, and a system-calculated Job Health status (On Track, At Risk, Overburn). Progress versus spend sits side-by-side with billings, revenue, client payments, supplier payments, top cost-centre utilisation, unbilled estimates, unrecognised revenue, and uncosted orders. The early-warning signal you needed three weeks earlier than the usual report cycle.

Together with our Management Report Pack, where every key financial report is grouped into one export-ready bundle, agencies get a connected view of performance from the highest level down to a single job.

Smarter, more controlled finance workflows

This is where the bulk of the work has gone, and where most agency finance teams will see the biggest day-to-day shift.

Notification Hub. For agency teams juggling approvals, timesheets, invoices, and open batches across multiple workflows, the Notification Hub brings it all into one place. Every user sees exactly what’s waiting for their attention — AP approvals, expense sign-offs, outstanding estimates, overdue invoices, open jobs — and a single click takes them straight to where they need to act. The Hub is customisable, so each user can surface what matters most to them. It’s the kind of feature that quietly changes how efficiently a team moves through their day.

Supplier Reconciler. Now live inside Pegasus Edge, this is one of the most significant additions to our finance capabilities. Supplier reconciliation, query management, write-off control, payment generation, and reporting all sit within a single structured workflow in Accounts Payable, with no external trackers or parallel spreadsheets. Statements can be entered manually, imported via Excel template, or pulled in using AI statement scanning. Write-offs carry user limits and authorisation thresholds, and feed directly into client profitability. For Finance Directors, that's a meaningful improvement in control, audit-readiness, and confidence in supplier balances.

GL Cash Flow. A central workspace for forecasting and managing your future cash position from your Pegasus data. Build weekly or monthly cash flow versions, assign AR/AP to periods, layer in manual adjustments, track balances over time, and jump straight into GL or budget inquiries from within the tool.

AI invoice and expense receipt scanning. Now live across AP and Expenses, removing the manual data entry that used to absorb finance team hours.

eInvoicing. Live for AU, NZ, and Malaysia, with invoices flowing directly between accounting systems. Faster payments, fewer errors, and compliance with regional requirements.

AP and AR enhancements. Extended invoice fields, smart accrual handling, secure SFTP for EFT bank file transfer, full audit trails, AR statements exportable to Excel, Statement & Invoice Bundling so clients receive a single tidy PDF, automated email logs against each invoice, easier reversals and due date updates, and selection-based printing/exporting in AP and AR Transaction Inquiry.

Form Designer. The Form Designer gives agencies direct control over the documents their clients and suppliers receive. Invoices, Estimates, Purchase Orders, Statements, Remittance Advice, and Media Letters can all be tailored — branding, fonts, margins, logos, payment terms — with multiple designs configurable per form type. An agency with several brands or branches can present the right face to each client, with minimal technical overhead and no ongoing development dependency. It’s a level of polish and consistency that reflects well, and it’s entirely in your hands.

General Ledger. Suspendable accounting levels and prefixes, opening balance columns in GL Report Writer (so reports can follow the Opening + Activity = Closing format natively), more flexible P&L subtotals, period controls, and historical reconciliation tools.

Production and profitability connected to the financial picture

Production decisions only matter if they're grounded in a financial reality you trust. The work this year has tightened the link between job activity and the numbers behind it.

JCR and invoicing flexibility. Job Cost Reports now support multiple billing percentages per estimate, giving job managers more control over how invoices are issued. Production Invoicing and JCR Selections show Job Counts, plus Billing, Revenue, and Prebill totals aggregated by selection, so teams can prioritise high-value invoicing activity without running a proforma.

Forecasting that reflects reality. Forecast by job manager or job type, link directly from jobs into forecasts, compare estimated vs. actual profit, and use the new Forecast profitability category to keep client and job forecasting clean.

FX and recurring work. Refresh exchange rates when copying foreign-currency estimates so values reflect the current rate, schedule recurring jobs, and apply FX rate cards across the platform.

Production Report Writer. Filter by job status as of a selected date, by estimate status, and by invoicing state, supporting more accurate period-based and audit reporting.

Media workflows. Media Bookings Import via Excel, a new Value for Invoice field for precise client billing (with automatic commission calculation), faster Media Search with an Incomplete Status filter and Excel export, validated batch creation that no longer generates empty selections, and an Adjustments-only option for deferred or non-standard billing cycles.

Attachments. Pegasus Edge supports file attachments across the platform, meaning that the documents, approvals, and reference files associated with a piece of work actually live with it. Attach a signed estimate to the estimate, a client contract to a client record, or a media plan backup to the booking. PDFs, images, spreadsheets, and more are all supported. For teams that currently manage these files across inboxes, shared drives, and individual desktops, it’s a straightforward step toward a cleaner, more auditable way of working.

Connected operations: integrations that respect how teams already work

We've been deliberate about not asking agencies to abandon tools their teams love. Instead, the focus has been on connecting Pegasus Edge to the wider ecosystem so that financial data remains accurate without changing how project teams operate day-to-day.

ClickUp integration. Clients and jobs are set up and managed in Pegasus, then synchronised with ClickUp. Project work and time tracking continue in ClickUp, with time flowing back into Pegasus for job costing and reporting. Less duplication, fewer errors, and a clearer line from operational activity to financial outcome.

International language support. For agencies operating across borders: bilingual client, product, and supplier records (e.g. English and Japanese), user-level language display preferences, and flexible local-language presentation on external forms and documents.

Integrations and APIs. A growing ecosystem of connections, including Float and AudioNet, plus public APIs for deeper integration with the rest of your stack. Excel exports and API access support finance teams running Power BI, Float, and similar tools downstream.

HR, timesheets, and access control

The platform has matured in the everyday operations layer too:

  • Mobile timesheet submission with pinned frequent entries and Excel bulk import

  • Staff leave, remuneration, and payroll alignment, including API sync with DataPay

  • Tracking of staff costs vs. client charge rates

  • Pause / Unpause user functionality and proactive email notifications before profiles are disabled for inactivity

  • Enhanced User Client and Supplier Access — new filters, direct shortcuts from User Enrolment, clearer exclusions, and on-screen visibility of who last updated access and when (no audit report required)

  • SSO and 2FA for stronger access security

Quarterly roadmaps, transparent delivery

Pegasus has implemented quarterly roadmap releases, so improvements ship faster and the pipeline stays visible. The cadence has also opened direct feedback channels through our webinar series, covering development updates; client profitability reporting, dashboards, and cash flow; media and access enhancements; and a public quarterly roadmap that clients help shape.

For prospective clients, that means joining a platform that's actively improving every quarter, with a clear view of what's coming next.

What it adds up to

Across finance, production, media, and reporting, the work of the past year keeps coming back to the same theme: less manual effort, clearer reporting, and a stronger connection between the work your teams do and the financial outcomes that matter.

For agency CFOs and COOs, that means tighter control, fewer reconciliation gaps, and audit-ready workflows. For production and account leaders, it means seeing job health in real time, not after the close. For owners and CEOs scaling beyond founder-led finance, it means a system you can grow into, not out of.
